You’ll work closely with one co-CEO, handling both routine administrative tasks and strategic initiatives that directly influence the executive’s effectiveness.

The pace is consistently fast. Markets operate 24/7 globally. Priorities shift quickly based on market conditions and business developments. About the Role

We are seeking an exceptional Executive Assistant to provide dedicated support to one of our co-CEOs in a fast-paced, high-frequency trading environment. This is not a traditional administrative role - it requires a strategic partner who can manage a burgeoning inbox, maintain rigorous attention to detail, and make sound independent judgments about competing priorities in a 24/7 global market. You will be the primary point of coordination for this executive’s calendar, communications, and strategic initiatives.

In high-frequency trading, microseconds matter. This mentality extends beyond technology into how we operate as a firm. The successful candidate will thrive in this fast paced environment, demonstrating both meticulous care when precision is critical and sound judgment about when perfectionism should step aside for efficiency.

Key Responsibilities

Communication & Coordination

  • Manage high-volume daily inbox triage (typically 100+ messages per day), ensuring appropriate routing, prioritization, and timely responses
  • Maintain calendar and schedule optimization, including meeting coordination and rescheduling to adapt to market demands
  • Serve as a communication hub between leadership and internal/external stakeholders, with a preference for proactive over-communication
  • Handle communications across multiple platforms with professionalism and discretion

Executive Support

  • Provide strategic administrative support with understanding of deal flow, business priorities, and operational needs
  • Maintain institutional knowledge of ongoing projects, relationships, and business context

Project & Pipeline Management

  • Track and support the progression of business development and strategic initiatives through key stages
  • Follow up on partnerships and deals with structured methodologies to maintain momentum
  • Identify bottlenecks and communicate status updates to relevant stakeholders

Recruiting Support

  • Coordinate candidate pipeline management and scheduling for open positions
  • Maintain recruiting process integrity and ensure timely follow-up with candidates and hiring team

Administrative Operations

  • Manage document preparation, review, and signature collection from key stakeholders
  • Coordinate event registration and logistics for conferences and industry events
  • Maintain organized systems for time-sensitive administrative requirements

Knowledge Management

  • Curate, organize, and synthesize relevant business information and learning materials
  • Prepare summaries and briefings to support executive development and market understanding

Practical Skills

  • Typing speed of 70+ WPM
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, and Telegram
  • Ability to quickly learn new software and platforms
  • Comfort with AI-assisted tools and process automation

Ideal Profile

  • You’ve worked in high-pressure, fast-moving environments (finance, tech startups, trading, or comparable)
  • You have 5+ years of experience as an executive assistant or in similar high-touch support roles
  • You demonstrate initiative and can identify gaps without being asked
  • You’re comfortable asking clarifying questions and proactively flagging potential issues
  • You have experience with sensitive information and can be trusted implicitly

Location

Hong Kong – In-Office Required

This role requires full-time in-person presence in our Hong Kong office. Given the real-time nature of high-frequency trading and the need for close coordination with the co-CEO, in-office collaboration is essential.
